Project and Office Coordinator (m/f/d)

Location: Berlin

Your tasks:

Project Coordination

• Support project managers in planning, tracking, and monitoring project progress.
• Prepare project documentation, meeting agendas, minutes and reports.
• Assist in coordinating deadlines, deliverables, and communication between internal and external stakeholders.
• Ensure projects remain on schedule by following up on action items.

Office Administration

• Manage the day-to-day administrative tasks of the office.
• Serve as the first point of contact for general inquiries and correspondence.
• Maintain filing systems (digital and physical) and ensure accurate record-keeping.
• Oversee office supplies and liaise with vendors for procurement and services.
• Travel & Events Management
• Arrange and coordinate travel logistics, including flights, hotels, and transportation for executives.
• Organize conferences, meetings, and company events, ensuring all details (venue, catering, materials, itineraries) are in place.

Administrative Support

• Manage calendars, schedule meetings, and support executives with organizational tasks.
• Draft and format correspondence, presentations, and reports.
• Support onboarding of new team members and coordinate internal communications.

Your profile

• Proven experience in office coordination, administration, or project support roles.
• Strong organizational and multitasking skills with excellent attention to detail.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) or similar tools.
• Strong written and verbal communication skills.
• Ability to work independently while supporting multiple stakeholders.
• Discretion and professionalism in handling sensitive information.
• Proactive and solution-oriented mindset.
• Excellent time management and prioritization abilities.
• Strong interpersonal skills and team spirit.
• Flexibility and adaptability in a dynamic work environment.
